This is a great opportunity for a self-starting individual to be responsible for workplace management, administrative and some tactical human resource activities. The role reports to the Chief Adviser, US and Latin America and will have dotted line to DC Leadership. As the Office Manager/Coordinator you will:
- Create and draft documents including memos, briefs, and reports
- Develop PowerPoint presentations
- Covering meetings and conferences on political and economic issues of interest in D.C
- Assist in coordination with other US businesses and Ottawa, Canada office
- Helping DC office employees with tactical HR (adequate training will be provided by HR team)
- Ordering Stationary for General office and Printing of BU materials for key meetings
- Booking meeting rooms and Catering + Event management
- Management of the Executive Leadership visits
- Expense management
- Travel management
- Key member of the Emergency Response Planning team
- Key member of the Business Resilience Team - Emergency, incident response facilitation
- Ensuring workplace looks and feels in accordance with RT expectations, standards and latest trend in the market
- Oversee management of security access cards & Landlord building access
- Lead HSE Board update and facilitate HSE Governance monthly meetings
- Manage PO's and Invoices for DC office
- RTTMS management of user tickets + Adherence to SLA's/KPIs
- Health & Safety Inspections and lead communication regarding changes and meetings in office
- Conducting Operational Audits and conducting daily inspections
- Mail & Parcel management
